There are several administrative tasks that you will need to complete before your arrival in Singapore, including application, Student's Pass (student visa) application, online matriculation, and course enrolment. This page provides important information to help you navigate these processes with ease.

You will also find an overview of what to expect during and after your exchange programme. Please read the information carefully and visit this page regularly to ensure a smooth onboarding experience.

BEFORE ARRIVAL

Online Application to SMU

Once your home university has officially nominated you for the exchange programme at SMU, you will receive application instructions from us via email.

Documents to submit (in English)​ 

  1. Photo identification page of passport with at least 6 months validity from the end of the academic term. Expired passports or passports with less than the required validity will not be accepted
  2. Academic transcript ​ 
  3. English Proficiency Certificate with at least 2 years’ validity​ 
  4. Passport-sized colour photograph taken within the last 3 months (JPEG, < 100kb)

Application Deadline: 25 Apr 2025

Letter of Acceptance (LOA)

If your application is successful, you will receive an official Letter of Acceptance (LOA) from SMU, along with further instructions on how to apply for the Student's Pass (STP) - the student visa issued by the Immigration and Checkpoints Authority (ICA) of Singapore.

Planning for Arrival and Departure

Recommended Arrival Date

Before 11 August 2025​​  

You are required to attend the compulsory in-person Completion of Formalities (COF) for the Student's Pass (STP), as well as Orientation, which will take place at SMU between 12 and 15 August 2025.

Recommended Departure Date

1-term students: within the week of 7 – 14 Dec 2025 

​1-year students: within the week of 3 – 10 May 2026​ 

The STP will expire 7 days after the end of the academic term. Therefore, you are advised to plan your departure from Singapore after your final examinations and before the STP expires.

Please note that students are not required to present a round-trip ticket upon arrival in Singapore.

Staying in Singapore beyond the STP expiry

If you wish to remain in Singapore beyond the expiry of your STP, you must cancel your STP at least 3 working days before its expiry and apply for a separate Visit Pass through the Immigration and ICA.

Please be aware that overstaying in Singapore is a serious legal offence.

Travel InsuranceYou are strongly advised to purchase your own travel insurance to cover any personal trips outside of Singapore.
Confirming Air TicketsYou may begin researching air tickets early; however, it is recommended that you make financial commitments for your tickets and travel insurance only after receiving the In-Principle Approval (IPA) letter from ICA.

Accommodation Planning

SMU does not provide on-campus accommodation for exchange students. However, our city-centre location is easily accessible by public transport and surrounded by numerous private housing options, such as apartments, condominiums and private student hostels.

To assist with your housing search:

  • SMU will email you a list of alternative housing options.
  • A Telegram group will be created to help you connect with other exchange students to explore shared housing.

Please note:

  • You are responsible for arranging your own accommodation.
  • SMU does not act as a representative in any disputes relating to rental agreements.
  • Short-term rentals (e.g., under 3 months) are not permitted under Singapore’s residential housing laws. For more information, refer to the Urban Redevelopment Authority (URA) website.

We advise you to:

  • Begin researching early
  • Commit financially only after receiving your IPA letter
  • Read and understand all terms and conditions of your rental agreement before signing

 

APPLYING FOR THE STUDENT'S PASS (STP) / VISA

A valid Student’s Pass (STP) is required for the duration of your studies in Singapore. Please be aware that STP holders are not allowed to engage in any form of work - whether paid, unpaid, in-person, or virtual - during this period.

Student’s Pass Application Process​ 

  1. SMU will register your personal details with Singapore’s Immigration and Checkpoints Authority (ICA).

  2. Following this, you will need to submit eForm 16 and the required supporting documents through ICA’s e-services portal, SOLAR. SMU will email you the login credentials and step-by-step instructions.

Please take note of the following when submitting eForm 16:​

Parent’s NRIC/FINComplete this section only if your parents are Singaporeans or foreigners working or residing in Singapore. Otherwise, you may leave it blank.
Singapore address and contact detailsIf you do not have a local address or contact details at the time of submission, you may leave this section blank.
Passport PhotoPlease upload a clear image of your passport’s biodata page. Blurry or unclear images may lead to delays and requests for clarification.
Email AddressThe email address provided cannot be changed after the application is submitted to ICA. All future correspondences, including the issuance of your digital Student’s Pass, will be sent to this address.
SignatureYou must sign and upload all pages of the completed eForm 16.
Students with Dual CitizenshipIf you hold dual citizenship, ensure that you enter Singapore using the same nationality and passport used in your Student’s Pass application to avoid any complications at the checkpoint.

 

  1. Pay a non-refundable application fee of S$45 to ICA.

  2. Monitor the status of your STP application closely through the ICA Portal and email. Be prepared to provide any necessary clarifications or supporting documents within the specified deadlines.

  3. Once your STP application is approved, you will receive an In-Principle Approval (IPA) from ICA. Print a copy of the IPA to present at immigration and during the Completion of Formalities (COF).

  4. Pay the S$60 issuance fee and S$30 multiple journey visa fee (if applicable) to ICA. Upon payment, the e-Receipt will be generated only once. To ensure successful retrieval, please disable your pop-up blocker before proceeding. ICA will not re-issue the e-Receipt if it is missed.

If you did not receive or missed the e-Receipt, follow the steps below to retrieve it:

bClick on “Foreign Student” 
cLogin to the e-service with your details 
dAt the main menu, select “Enquire Payment History” to view payment history of your Student’s Pass Application 
eClick on [Save as PDF] to save or print the payment history details. Please save a copy of your e-Receipt, as you will need to present this during COF. 

 

  1. Upon arrival in Singapore and after clearing immigration, an electronic Visit Pass (e-Pass) will be sent to your registered email. The e-Pass allows you to remain in Singapore until your Student’s Pass (STP) is issued.

  2. Attend the compulsory Completion of Formalities (COF) session, where ICA officers will register your personal data, including fingerprints and iris scans. SMU will inform you of your allocated date and time for the COF.
    Note: You are not required to make a separate appointment with ICA, as SMU will host an on-site COF session.

  3. Your digital STP will be issued within one week of completing COF. The STP will be valid until 7 days after your term ends. Therefore, you must depart Singapore by 14 Dec 2025 to avoid overstaying.

If you are staying in Singapore for more than 6 months, you are required to undergo a compulsory medical examination as part of your STP application.

You must upload below two documents before attending the Completion of Formalities (COF) at SMU:

  • The completed ICA-prescribed Medical Examination Report, and

  • Relevant laboratory test results (HIV and Chest X-ray)

    These documents are required to proceed to the next step of your application via the SOLAR portal.

    If you have never resided in Singapore on any long-term immigration passes, you can choose to have the medical examination done in:

Home countries/places of residences 

Please ensure the following:

  • Your personal details (as per your passport) are accurately reflected in all documents.

  • The clinic’s official stamp is clearly endorsed on the Medical Examination Report.

  • The examining doctor’s name and date of examination are clearly indicated.

  • An official English translation is provided if the documents are not in English

  • All documents are uploaded to SOLAR for processing

  • Do not upload a blank ICA Medical Examination Form. Upload only the completed form along with results once available.

  • Results may take up to 5 business days, so please plan your arrival accordingly to allow sufficient time.

For Renewal Cases:

The medical examination must be conducted in Singapore by a registered General Practitioner (GP).

​The Student’s Pass (STP) should not be confused with the SMU Student Card.

Payment of Misc. Fee to SMU

Visiting Student Programme (VSP) represented by CIEE, TEAN and CUNEF

If you are participating in the Visiting Student Programme (VSP) through organisations such as CIEE, TEAN, CUNEF, you are not required to pay miscellaneous fees directly to SMU. These charges will be billed to the respective organisations.

ALL OTHER EXCHANGE AND VISITING STUDENTS

You are required to pay a miscellaneous fee, which covers registration, matriculation, medical insurance* (excluding travel insurance), IT services, and student activities.

This fee is mandatory and non-refundable under all circumstances, including unsuccessful Student’s Pass or border entry applications.

You will only be able to matriculate at SMU after the miscellaneous fee has been paid. Please note that payment processing takes approximately 2 working days.

*Medical insurance is provided for the duration of your stay in Singapore and does not replace travel insurance for personal purpose.

Medical Insurance in Singapore

It is mandatory for you to purchase the SMU Medical Insurance. The cost for this insurance is included in the SMU Miscellaneous Fee.​​ ​

Matriculation process
  1. Please ensure your personal details and programme details are accurately indicated.
  2. Please read the declaration statement, acknowledge indemnity for risk and undertaking and proceed to matriculate.
Indemnity form

If you are 18 years of age and above, you must provide acknowledgement in the indemnity form during online matriculation.​​ 

If you are below 18 years of age, you are required to print out the indemnity form, get it signed by your parent or legal guardian and submit the signed indemnity form to SMU during the SMU Student Card collection.

In-person​ document verificationIn person document verification will be done at SMU when you collect your SMU Student Card. Read more here.

Please take note of the Student ID number that will be displayed at the acknowledgement page after successful matriculation. 

This number will be referenced throughout your studies at SMU.​

Step 3: Photo Submission
Please Note:

You will need to submit a photo during online matriculation if

  1. You did not previously submit a photograph to SMU during Online Application.
  2. SMU had notified you that the photo you submitted during Online Application was rejected.

Approved photographs will be used for official records and for printing onto the SMU Student Card. Once the photographs are approved, no changes are allowed.

Access to SMU Portals

SMU Computer account

You are required to activate your SMU Computer Account two days after completing your Online Matriculation. This account will be used to access SMU's network resources such as your SMU Campus Email and the OASIS Student Portal.

Course Planning

SMU course enrolment is done through the online bidding system, BOSS.

Before the BOSS bidding exercise, you must identify your preferred courses and obtain pre-approval from your home university.

Given the competitive nature of the bidding process, it is highly recommended that you seek pre-approval for as many courses as possible (at least 16) to provide greater flexibility during the bidding.

Retrieve SMU course catalogue and course outlines

The final course list will be sent to you via your SMU email approximately two weeks before the start of the BOSS bidding exercise.

For planning purposes, please refer to the courses offered in the previous year via the SMU course catalogue*:

  • Once you are on the SMU course catalogue, click on the <Change Term> button to select the correct term e.g.:  ‘2024-25 Term 2’
  • Search for the course title using the alphabetical index
  • Click on <View Class Sections> for course details e.g. day, time, venue and instructor
  • Click on the <Course Outline Icon> for the detailed course description, reading list, grading

    The final list of courses offered to exchange students in the past year is as follows:

Kindly note that not all courses offered in the previous year will be offered again in the upcoming term.

Course restrictions
  • Only undergraduate courses are available to exchange and visiting students.

  • The course load per term is as follows:

    Minimum: 2.0 SMU credits

    Maximum: 4.0 SMU credits

  • Only students who have been pre-registered by their home university to take 5 credits will be eligible to bid for 5 credits.

Course Pre-Requisites

Some courses at SMU have pre-requisites, which you must have successfully completed at your home university before enrolling in the course. Please follow the steps below to obtain approval for any pre-requisites.

Steps to seek approval for pre-requisites

Email the following documents to the respective SMU instructors and schools:

  • Course outlines of the pre-requisite courses completed at your home university

  • The corresponding transcript

Steps to retrieve instructors’ email address

Instructors' emails can be found within the course outline in the Course Catalogue:

  • Click on Change Term to select the correct term e.g. ‘2024-25 Term 1’
  • Search for the course title using the alphabetical index
  • Click on View Class Sections for course details e.g. day, time, venue and instructor name and email

It is your responsibility to seek early approval from the respective instructors. Failure to do so may result in the need to drop the course and re-bid in subsequent rounds or windows if your waiver request for the pre-requisite is rejected.

Bidding Online SyStem (BOSS)​

Course enrolment at SMU is done through a bidding system called BOSS. It is essential that you familiarise yourself with BOSS before the start of the bidding exercise.

Please note that only matriculated students are eligible to participate in the BOSS bidding exercise.

Bidding process

You will be allocated e$100 to bid for all desired courses across all bidding rounds (1C to 2A). The minimum bid for each course is e$10.

If your bid is not successful, you may bid for the same course again in the next bidding window or round, subject to seat availability.

Class and exam schedule​You are responsible for ensuring there are no clashes in your class and exam schedules when planning your courses. Please note that changes to exam dates are strictly NOT allowed.
TimelineThree rounds of BOSS bidding (Rounds 1C, 2, and 2A) are open to exchange and visiting students, with Round 1C being exclusive to you. You are strongly encouraged to bid and secure your courses during this exclusive Round 1C. Please refer below for the detailed BOSS bidding schedule.
BOSS refund policy​

Unsuccessful bid: Full refund of e$​​ 

Dropping a confirmed course: The ‘drop’ is immediate and e$ will be refunded immediately. The course cannot be reinstated upon dropping. 

Refund amount for each round:​​

  • BOSS Round 1C – bid amount or e$50, whichever is lower​​
  • BOSS Round 2 – bid amount or e$30, whichever is lower​​
  • BOSS Round 2A – bid amount or e$10, whichever is lower​
Important notesCourse enrolment is not guaranteed and is subject to SMU academic policies and guidelines, availability of vacancies, fulfilment of applicable pre-requisites, and the outcome of course bidding.​

It is highly recommended that you secure all your desired courses in Bidding round 1C (28 Jul - 1 Aug 2025), exclusive to exchange and visiting students. All times are in Singapore Time (GMT +8).

For entry into Singapore

Please take note of the following before arriving in Singapore:

  1. Complete the Singapore Arrival Card (SGAC) up to 3 days before arrival.

  2. Print a copy of the In-Principle Approval (IPA) letter. Immigration officers will request to view the IPA upon arrival. To retrieve it, log in to SOLAR and click <Print Outcome Letter>.

  3. If you have dual citizenship, ensure you seek entry clearance at the Singapore checkpoint using the same nationality and passport used to apply for your STP to avoid complications.

Students who require an entry visa to enter Singapore need not apply for one separately and may enter Singapore with the IPA letter at the Singapore checkpoints. 

This one-time entry visa will be incorporated in the IPA letter if applicable. Click here to check if you require an Entry VISA.

AFTER ARRIVAL

Getting to SMU​

SMU is situated at the heart of Singapore, surrounded by multiple MRT stations and bus routes, ensuring convenient accessibility via public transport. For detailed instructions on accessing various SMU buildings, visit this link.

Orientation – Compulsory

All new exchange/visiting students are required to attend a mandatory in-person orientation session, which will take place approximately one week before the academic term begins. This is an excellent opportunity to familiarise yourself with SMU’s key features, understand important dos and don’ts, explore Singapore, and meet new friends.

Between 12 to 14 August 2025, 8.30am - 5.00 pm. This is a full day event.

Completion of Formalities (COF) – Compulsory

Important notes
  1. Ensure that you have uploaded the COF documents and paid the relevant fees (Issuance/Multiple Journey Visa fees) on the SOLAR portal.
  2. As ICA will be issuing a digital Student’s Pass, please ensure you have a working Singapore mobile number that is able to receive SMS OTP (One-time-password via SMS) before attending the COF. e-SIMs without a Singapore mobile number would not be allowed for this purpose.
  3. You are advised NOT to wear coloured, patterned, or cosmetic contact lenses for COF. You will be required to remove your glasses/spectacles before scanning your iris.

An email with the header “Notification of Electronic Visit Pass” will be sent to your registered email address upon clearing immigration at the Singapore Customs).

You can also retrieve your e-Pass information from ICA’s e-Pass Enquiry Portal on the SG Arrival Card e-Service platform with either of the following:

-Disembarkation/Embarkation (D/E) number issued to you after your SG Arrival Card submission; or 

-Email address declared in your SG Arrival Card submission.

  1. Softcopy proof of payment for Issuance and/or Multiple-Entry Visa fees
To print the payment receipt, log into SOLAR and click ‘Enquire Payment History’. Check that your ‘Student Pass Issuance Fee’ and ‘Multiple Journey Visa’ (where applicable) are paid and print the payment record page.
  1. A hardcopy of a recent passport-sized photograph (35mm wide by 45mm high) with white background, taken on matte photo paper. 

    Photos that do not follow the required format will be rejected by ICA.

If you do not have a hardcopy photo, an on-site instant photo service will be available at $15 for 4 photos (price is subject to change). Only cash payment is accepted. However, you are strongly encouraged to have your photo ready prior to the day of the COF to avoid long queues.
  1. An active Singapore mobile number (starting with +65)
Do register only for e-SIMs that provide a Singapore mobile number.
Issuance of digital STPYour digital Student’s Pass (STP) will be sent to your email within 7 working days after the COF session. Please follow the instructions in ICA's email or visit FileSG - Retrieve Your Documents  to retrieve your STP.

Identity Verification and Collection of SMU Student Card​ - Compulsory

Once you receive your digital STP, you are required to have your identity verified and collect your SMU Student Card from SMU. This is a mandatory in-person event. Collection by proxy (e.g., a friend, representative, or family member) is not permitted.

Please ensure you follow the instructions provided here to set up your SMU campus email on your mobile device in order to retrieve the QR code.

Update Singapore Residential Address

Once you have changed your address in Singapore, you are required to update ICA and SMU by following the below steps:​

  • SMU: Login to OASIS and update the local address
  • ICA: Go to a Singpass counter (click here for counter locations) with your passport and Student's Pass (STP).

Opening a Local Bank Account

If you wish to open a local bank account, you can do so after obtaining your Student’s Pass (STP). The Proof of Residency required for this can be obtained by following the below steps:​​ 

  1. Update your local residential address on OASIS
  2. Reach out to Student Services Hub for a Proof of Residency via SSHelps@smu.edu.sg

Endorsement of Documents (e.g. Learning Agreement, Arrival Certificate)

Examinations

You are required to sit for all the final exams. Changing of exam dates are strictly NOT allowed. All grades will be reflected on the SMU’s official transcript.

“W”, “I” and “F” Grade:​​ 

  • Dropping of courses between Week 3 and 7 of the term will result in a “W” or Withdrawal grade
  • Dropping of courses from Week 8 onwards will result in an “F” or Fail grade​
  • If you are unable to fulfil certain course requirements due to medical reasons, you can file for “I” or Incomplete grade

The SMU Host programme will connect you with SMU Alumni who have generously volunteered to serve as hosts to provide valuable guidance and support to help you settle into life in Singapore. This programme will help you expand your network of friends while gaining a deeper understanding of Singapore through eyes of experienced SMU graduates. ​

Exchange Student Ambassador (ESA) Training​

SMU Exchange Ambassador Programme

You are welcome to join SMU’s Exchange Student Ambassador (ESA) training to expand your SMU experience.

Curated and sponsored by Centre for Global Education and Opportunities (GEO), this training includes a series of workshops designed to equip students with key skills to become effective leaders and ambassadors for both SMU and Singapore upon their return home. ​

The workshops cover topics such as networking in multicultural settings, public speaking, using AI tools in creative projects, sustainability, and more. 

Currently offered free of charge, the training has limited capacity each term. Students who complete the full programme will receive a certificate. Beyond skill development, the training offers opportunities to build lasting friendships and networks that will extend well beyond their time at SMU. All students are welcome to register, but only selected individuals will be invited to attend.

SMU Exchange Ambassador Programme

SMU EdVenture

You are welcome to join the SMU EdVenture programme to expand your SMU experience beyond Singapore.

Organised by the Centre for Global Education and Opportunities (GEO), the SMU EdVenture is an 8-day, fee-paying, non-credit bearing programme that takes place during recess week.

Participants will have the chance to spend a week in one of the ASEAN cities, with the programme delivered by one of SMU's esteemed ASEAN partner universities. The programme offers an in-depth exploration of the history, culture, economic development, and ecosystem of the selected country; and includes visits to iconic attractions and activities around the city.

All exchange and visiting students are welcome to register, but only selected individuals will be invited to attend.

End-of-Term Survey​

At the end of the programme, you are required to complete an end-of-term survey as part of the exit process. Your feedback is valuable in helping SMU improve the experience for future students.

AFTER EXCHANGE TERM

Student Pass Expiry and Extension​​

Your Student’s Pass (STP) will expire 7 days after the term end date; which means you need to depart Singapore before 14 December 2025.​

If you wish to extend your stay in Singapore, you are required to cancel your STP within seven days of the expiry date. This is to be done using your Singpass account via ICA’s SOLAR system. ICA will then issue a Short-Term Visit Pass (STVP) upon cancellation of the Student’s Pass for you to continue to remain in Singapore legally.​​ ​ 

Overstaying in Singapore is a serious legal offence.​​

Examination Results​

Examination results will be released on 19 December 2025. You may view your results via OASIS » Self-Service Apps » Examination Grades.

Digital Transcript​

The official digital transcript will be sent to your SMU campus email. The transcript will include the course title, course code and grade of the respective courses enrolled. No hardcopy of the transcript will be issued. 

SMU does not send the digital transcript to any third party including the student’s home university. Therefore, you are responsible for providing the transcript to your home university for credit transfer and other related matters.

Timeline

Three months after the release of the final examination results – by mid-March 2026.

SMU is unable to accommodate requests for early release of the official digital transcript under any circumstances including students’ graduation and higher education plan.​
