We are thrilled to have you join our exchange programme this Spring (Jan to May 2025) and excited for you to experience the best of what Singapore and SMU have to offer. 

There are various administrative tasks related to nomination, Student's Pass (visa) application, matriculation and course bidding, which you must complete before your arrival in Singapore. This page contains information to help you navigate these processes.

You can also see at a glance what to expect during and after the exchange programme. Therefore, please read the information here carefully and visit this page regularly for a smoother onboarding experience.

BEFORE ARRIVAL

Online Application to SMU

Once you are officially nominated to SMU by your home university for the exchange programme, you will receive application instructions from SMU via email. ​​ ​ 

Documents to submit (in English)​ 

  1. Photo identification page of passport with at least 6 months validity from the end of the academic term. Expired passports or passports with less than the required validity will not be accepted
  2. Academic transcript ​ 
  3. English Proficiency Certificate with at least 2 years’ validity​ 
  4. Passport-sized colour photograph taken within the last 3 months (JPEG, < 100kb)

Application Deadline: 25 Sep 2024

Letter of Acceptance (LOA)

If your application is successful, you will receive an official Letter of Acceptance (LOA) and further instructions from SMU to apply for the Student's Pass (student visa), abbreviated as the STP, from the Immigration and Checkpoints Authority (ICA) of Singapore.

Planning for Arrival and Departure

Recommended Arrival Date

Before 5 January 2025​​ 

You are expected to attend the compulsory in-person Completion of Formalities (COF) for Student's Pass (STP) between 6 & 7 January 2025 and Orientation between 8 & 10 January 2025 at SMU.​

Recommended Departure Date

1-term students: within the week of 4 – 11 May 2025 

​1-year students: within the week of 7 – 14 Dec 2025​ 

The STP will expire 7 days after the term end date, therefore you should depart Singapore after the final exams, before the expiry of STP. ​

Students are NOT required to produce a round-trip ticket when arriving in Singapore.

Staying in Singapore beyond the STP expiry

If you wish to extend your stay in Singapore beyond the expiry of STP, you are required to cancel your STP 3 days before the expiry and apply for a separate visit pass through ICA. 

​​Overstaying in Singapore is a serious legal offence.​

Travel InsuranceYou are strongly recommended to purchase your own travel insurance to cover personal trips outside Singapore.​
Confirming Air TicketsYou may start researching for your air tickets early, but it is recommended to make financial commitments for tickets and travel insurance only after receiving the In-Principal Approval (IPA) letter from ICA.​​

Accommodation Planning

SMU does not offer on-campus accommodation for exchange students. However, as the campus is situated in the heart of the city and easily accessible by public transportation, there are many housing options (e.g. private apartments, condominiums) outside of campus. 

To assist you, SMU will email you a list of housing options with discounted rates for SMU students. We will also create a dedicated Telegram group for you to connect with other exchange students to explore housing options together. ​​ 

However, you are responsible for sourcing and arranging your own accommodation and SMU does not act as a representative for either party in the event of disputes arising from the rental/lease of the property. 

Please note that residential properties in Singapore are not allowed to be used for short-term accommodation.​ You are encouraged to read Singapore’s government policies on short-term rental on the Urban Redevelopment Authority (URA) website. ​

You may start researching for your accommodation early, but it is recommended to make financial commitments only after receiving the In-Principal Approval (IPA) letter from ICA.​ You are also advised to read and understand all terms and conditions of any housing agreement before committing.

APPLYING FOR THE STUDENT'S PASS (STP) / VISA

You are required to hold a valid Student’s Pass (STP) during your term of study in Singapore. Students under STP are NOT allowed to intern or work (paid or unpaid), including virtual engagements, during your term of study in Singapore.​ ​ 

Student’s Pass Application Process​ 

  1. SMU will register your personal details with the Immigration and Checkpoints Authority (ICA) of Singapore.​ 
  2. You are then required to submit the e-form 16 and other supporting documents to ICA’s e-services portal -SOLAR. Login details and instructions will be sent to you by SMU via email.

Please take note of below when submitting eForm 16:​

Parent’s NRIC/FINThis section is applicable to you if your parents are Singaporeans or foreigners working or living in Singapore. Otherwise, this can be left blank.
Singapore address and contact detailsLeave it blank if there is no local address/contact details at the point of submission.
Passport PhotoYou are required to upload a clear image of the passport biodata page. A blurry image will result in further clarifications and delay the outcome.
Email AddressNo changes to the email address will be allowed once the application is submitted to ICA. All future correspondences including the eventual digital STP issuance will be directed to this email address.
SignatureYou are to sign and upload all pages of the completed eform 16.
Students with Dual CitizenshipIf you have dual citizenship, remember to seek entry clearance at Singapore checkpoint with the same nationality and passport that was used to apply for the STP, to avoid any complications.
  1. Pay a non-refundable application processing fee of S$45 to ICA*.
  2. Closely monitor the status of your STP application at the ICA Portal and through email, in order to provide any necessary clarifications/ supporting documents within stipulated deadlines.​ 
  3. Once your STP application is successful, you will be issued an In-Principle Approval (IPA) from ICA. Please print a copy of the IPA to present at the immigration and during COF. ​ 
  4. Pay S$60 issuance fee and S$30 multiple journey visa (if applicable) to ICA. 
  5. Once you arrive in Singapore and clear immigration, an electronic Visit Pass (e-Pass) will be sent to your registered email. The e-Pass will allow you to remain in Singapore until the STP is issued. ​
  6. You are required to personally attend the compulsory Completion of Formalities (COF) session held by ICA officers at SMU to register personal data including fingerprints and iris scanning. SMU will contact you about your allocated date and time for COF. ​ *You are not required to make an appointment with ICA (step 3 of the STP application) as SMU will be hosting an on-site COF.
  7. You will be issued the digital STP within one week of COF. The STP will lapse 7 days after the term end date, therefore, you will need to depart Singapore before 11 May 2025.

​If you are staying in Singapore beyond 6 months, you are required to undergo a COMPULSORY medical examination as part of your STP application. You would need to upload the completed ICA’s prescribed Medical Examination Report form as well as the relevant laboratory reports on HIV and X-ray tests to proceed to the next step in your STP application.

If you have never resided in Singapore on any long-term immigration passes, you can choose to have the medical examination done in:

Home countries/places of residences 

Please ensure: 

  1. Your information (as shown in the travel document) is correctly stated in the medical examination report and relevant laboratory reports. 
  2. The overseas clinic’s stamp is endorsed in the medical examination report. 
  3. The Examining Doctor’s name and date when the medical examination was done are clearly stated.
  4. An official English translation of the medical report is provided, if the original is written in another language.
  5. Your medical report is uploaded to SOLAR in order to proceed to the next step.

Singapore 

  1. Do not upload any blank ICA’s prescribed ‘Medical Examination Form’. You may upload the completed form once you have the done the medical examination and have obtained the results in Singapore.
  2. As it will take up to 5 business days for the clinic to process the medical exam results, kindly allocate sufficient time when planning your arrival date into Singapore.

For renewal cases: ​ 

The medical examination must be done in Singapore with a registered General Practitioner (GP).

Payment of Misc. Fee to SMU

You are required to pay a miscellaneous fee, which covers registration, matriculation, medical insurance* (excludes travel insurance), IT services and student activities. This fee is mandatory and non-refundable under any circumstances, regardless of the outcome of the Student’s Pass and other border entry applications. ​​​ 

You will be able to matriculate to SMU only after you have paid the miscellaneous fee. It will take 2 working days for the payment to be processed.

*Medical Insurance

It is mandatory for you to purchase the SMU Medical Insurance. The cost for this insurance is included in the SMU Miscellaneous Fee.​​ ​

SMU Online Matriculation​

You are required to verify your personal data and complete the online matriculation to be able to access the Bidding Online System (BOSS) for course enrolment. ​If you have not previously submitted your photograph to SMU or your submitted photograph was rejected (as notified via email), you are required to submit a photograph to SMU.​​ 

Approved photographs will be used for official records and for printing onto the SMU Student Card. Once the photographs are approved, no changes are allowed.​​ ​

Indemnity formIf you are 18 years of age and above, you must provide acknowledgement in the indemnity form during online matriculation.​​ If you are below 18 years of age, you are required to print out the indemnity form, get it signed by your parent or legal guardian and submit to SMU during SMU student card collection.​

Access to SMU Portals

SMU Computer account

You are required to activate your SMU Computer Account two days after completing your Online Matriculation. This account will be used to access SMU's network resources such as your SMU Campus Email and the OASIS Student Portal.

SMU Username and Password

Course Planning

Courses at SMU are not pre-allocated. Course enrolment is done through the online BOSS Bidding system. Prior to BOSS Bidding exercise, you are required to identify and seek pre-approval for courses of interest from your home university. ​​

Due to the competitive nature of bidding, you are recommended to seek pre-approval for as many courses as possible (at least 16) in order to have an alternative course plan and allow flexibility.

Retrieve SMU course catalogue and course outlines

The final course list offered for Spring 2025 exchange students will be emailed approximately two weeks before the start of BOSS bidding exercise. 

For planning purposes, you are to refer to courses offered in the previous year via the SMU course catalogue:

  • Click on Change Term to select the correct term e.g.:  ‘2024-25 Term 2’
  • Search for the course title using the alphabetical index
  • Click on View Class Sections for course details e.g. day, time, venue and instructor
  • Click on the Course Outline icon for the detailed course description, reading list, grading

Kindly note that not all courses offered in the previous year will be offered again in the upcoming term.

Course restrictions
  • You are only allowed to take undergraduate courses.​​ 
  • Course load for exchange students is Minimum 2.0 SMU credits and Maximum: 4.0 SMU credits. 
  • Only students who were pre-registered by their home university to take 5 credits will be able to bid for 5.0 credits.​

Course Pre-Requisites

Some courses at SMU have course pre-requisites. Pre-requisites are courses that you should have already successfully completed at your home university, in order to qualify to take a specific course at SMU. While you are not expected to have completed the exact SMU prerequisites, you need to ensure that you have completed a similar prerequisite in your home university.

Steps to seek approval for pre-requisites

Email the following to the respective SMU instructors and schools:

  1. Course outlines of the pre-requisite courses taken at the home university ​​
  2. The corresponding transcript​
Steps to retrieve instructors’ emails

Course instructors’ emails can be found in the course outline in Course Catalogue:

  • Click on Change Term to select the correct term e.g. ‘2024-25 Term 2’
  • Search for the course title using the alphabetical index
  • Click on View Class Sections for course details e.g. day, time, venue and instructor name and email

It is your responsibility to seek early advice and guidance from the respective instructors, or risk having to drop the course and bid again in the subsequent rounds/windows.​ If the approval for the prerequisite is rejected by the SMU instructor, you will not be allowed to take that course.

Bidding Online SyStem (BOSS)​

Course enrolment at SMU is done through a bidding system called BOSS. It is essential that you understand and familiarise yourself with BOSS before the start of the bidding exercise. ​

Please note only matriculated students are able to participate in the BOSS bidding exercise.

Bidding process

You are allocated e$100 to bid for all the desired courses in all the bidding rounds (1C to 2A). The minimum bid for each course is e$10.​​ 

If a bid is not successful, you can bid for the same course again in the next bidding window or round, subject to seat availability.​

Class and exam schedule​You are responsible for avoiding clashes in class and exam schedules when planning your courses. Changing of exam dates are strictly NOT allowed.
Timeline3 rounds of BOSS bidding (Round 1C, 2 & 2A) are open to exchange students, and BOSS Round 1C is the only Round that is exclusive to exchange students. ​You are strongly encouraged to bid and secure your courses during this exclusive Round 1C. Please refer below for the detailed BOSS bidding schedule for more details.​​
BOSS refund policy​

Unsuccessful bid: Full refund of e$​​ 

Dropping a confirmed course: The ‘drop’ is immediate and e$ will be refunded immediately. The course cannot be reinstated upon dropping. 

Refund amount for each round:​​

  • BOSS Round 1C – bid amount or e$50, whichever is lower​​ 
  • BOSS Round 2 – bid amount or e$30, whichever is lower​​ 
  • BOSS Round 2A – bid amount or e$10, whichever is lower​
Important notesCourse enrolment is not guaranteed and is subject to SMU academic policies and guidelines, availability of vacancies, fulfilment of applicable pre-requisites, and the outcome of course bidding.​

Set-up SMU zoom account: How to set up your Zoom​

For entry into Singapore

Please take note of the below before arriving in Singapore:

  1. Complete Singapore Arrival Card (SGAC) up to 3 days before arriving to Singapore. ​​
  2. Print a copy of the In-Principle Approval (IPA) letter. Immigration officers at the airport will request to view the IPA. To retrieve the IPA letter, login to SOLAR with your details and click [Print Outcome Letter].
  3. If you have dual citizenship, you are reminded to seek entry clearance at Singapore checkpoint with the same nationality and passport that was used to apply for STP, to avoid any complications.

Students who require an entry visa to enter Singapore need not apply for one separately and may enter Singapore with the IPA letter at the Singapore checkpoints. 

The entry visa will be incorporated in the IPA letter if applicable. Click here to check if you require an Entry VISA.

Join the SMU Buddy and Host Programme​!

The SMU Student Success Centre (SSC), together with SMU International Connections (ICON) curates below programmes to help you accomplish a smooth transition into university life in Singapore. ​​ ​

SMU Buddy Programme​​

SMU Buddy programme will pair you with a senior student from Year 2-4. This unique initiative will allow you to gain firsthand insights into the life of an SMU student and help navigate university life in SMU more effectively. ​

SMU Host Programme​​

The SMU Host programme will connect you with SMU Alumni who have generously volunteered to serve as hosts to provide valuable guidance and support to help you settle into life in Singapore. This programme will help you expand your network of friends while gaining a deeper understanding of Singapore through eyes of experienced SMU graduates. ​​ ​ 

Registration details will be sent to you in December via email.

Getting to SMU​

SMU is situated at the heart of Singapore, surrounded by multiple MRT stations and bus routes, ensuring convenient accessibility via public transport. For detailed instructions on accessing various SMU buildings, visit this link.

Completion of Formalities (COF) – Compulsory

SMU will host a compulsory Completion of Formalities (COF) session for you to register your personal data (including fingerprints and iris scanning) with Singapore’s Immigration and Checkpoint Authority (ICA) to complete formalities for your Student’s Pass (STP).​

This is a compulsory event that you are required to attend, in person.​

Important notes
  • You are advised NOT to wear colored, patterned or cosmetic contact lenses​. You will be required to remove your Glasses/Spectacles before capturing of iris images.
  • *Singapore mobile number​ - You must ensure that you have a Singapore mobile number capable of receiving SMS before the COF, as a one-time OTP will be sent to this number.
Issuance of digital STPA digital STP will be issued to your email address within one week of COF.

Orientation – Compulsory

A compulsory orientation is arranged for all new exchange/ visiting students ~one week prior to the start of the academic term. This provides a great platform for students to learn more about the about key features of SMU, explore Singapore and make new friends.

Update Singapore Residential Address

Once you have changed your address in Singapore, you are required to update ICA and SMU by following the below steps:​

Opening a Local Bank Account

If you wish to open a local bank account, you can do so after obtaining your Student’s Pass (STP). The Proof of Residency required for this can be obtained by following the below steps:​​

1.0 SMU credit/course = 39 contact hours per term​​

0.5 SMU credit/course = 18 contact hours per term​​​

Course assessmentIncluding but not limited to class attendance, class participation, individual and group projects, presentations, mid-term tests and final examinations​​​
Class attendance and participationMandatory for all classes; absence must be supported by medical certification or valid reasons, and are subjected to the approval of the teaching instructor​

Examinations

You are required to sit for all the final exams. Changing of exam dates are strictly NOT allowed. All grades will be reflected on the SMU’s official transcript.

“W”, “I” and “F” Grade:​​ 

  • Dropping of courses between Week 3 and 7 of the term will result in a “W” or Withdrawal grade
  • Dropping of courses from Week 8 onwards will result in an “F” or Fail grade​
  • If you are unable to fulfil certain course requirements due to medical reasons, you can file for “I” or Incomplete grade

Exchange Student Ambassador (ESA) Training​

You are welcome to join SMU’s Exchange Student Ambassador (ESA) training to expand your SMU experience.

This complimentary 6-week training aims to empower a selected group of proactive incoming students with the necessary knowledge, skills, and resources for personal and professional development. Selected students will get to learn from industry experts, expand your networks, and gain skills to effectively represent yourself and SMU as an esteemed SMU Ambassador. ​

Cohort Gathering

You are invited to attend the end-of-term Cohort Gathering for a last hurrah! This celebration will allow you to reminisce your exchange journey and bid farewell to what we hope will be a once-in-a-lifetime experience with friends you made from around the world.​

End-of-Term Survey​

You are invited to complete an end-of-term survey as your final administrative task at SMU. The feedback from the survey would be invaluable to SMU to enhance the experience for future groups of students.​​

AFTER EXCHANGE TERM

Student Pass Expiry and Extension​​

Your Student’s Pass (STP) will expire 7 days after the term end date; which means you need to depart Singapore before 11 May 2025.​

If you wish to extend your stay in Singapore, you are required to cancel your STP within seven days of the expiry date. This is to be done using your Singpass account via ICA’s SOLAR system. ICA will then issue a Short-Term Visit Pass (STVP) upon cancellation of the Student’s Pass for you to continue to remain in Singapore legally.​​ ​ 

Overstaying in Singapore is a serious legal offence.​​

Examination Results​

Examination results will be released around one month after the final exams. 

Students may view their results via OASIS » Self-Service Apps » Examination Grades.

Digital Transcript​

The official digital transcript will be sent to your SMU campus email. The transcript will include the course title, course code and grade of the respective courses enrolled. No hardcopy of the transcript will be issued. 

SMU does not send the digital transcript to any third party including the student’s home university. Therefore, you are responsible for providing the transcript to your home university for credit transfer and other related matters.

Timeline

Three months after the release of the final examination results – by mid-July 2025.

SMU is unable to accommodate requests for early release of the official digital transcript under any circumstances including students’ graduation and higher education plan.​
